Role & responsibilities

Reporting To: Managing Director (MD)

Job Summary

We are seeking a highly organized, proactive, and analytical Executive Assistant to provide comprehensive administrative, coordination, and analytical support to the Managing Director. The role requires strong communication skills, confidentiality, and the ability to handle multiple priorities in a fast-paced construction environment.

Key Responsibilities

Executive & Administrative Support

Act as the primary point of contact between the Managing Director and internal/external stakeholders.

Manage MDs calendar, schedule meetings, appointments, and site visits efficiently.

Prepare agendas, presentations, reports, and minutes of meetings.

Handle correspondence, emails, and phone calls on behalf of the MD.

Ensure follow-up and closure of action items discussed in meetings.

Analytical & Reporting Support

Collect, analyze, and present data related to projects, operations, finance, and performance metrics.

Prepare MIS reports, dashboards, summaries, and presentations for management review.

Assist in analyzing project progress, timelines, costs, and resource utilization.

Support decision-making by providing data-driven insights and trend analysis.

Coordination & Liaison

Coordinate with project teams, planning, finance, procurement, HR, and external consultants.

Track deadlines, deliverables, and critical milestones across departments.

Assist in preparing documents for tenders, contracts, board meetings, and reviews.

Confidentiality & Compliance

Handle sensitive information with the highest level of confidentiality.

Maintain organized records, files, and documentation (physical and digital).

Ensure compliance with internal processes and reporting requirements.

Key Skills & Competencies

Strong analytical and problem-solving skills

Excellent written and verbal communication skills

High proficiency in MS Excel, PowerPoint, Word (advanced Excel preferred)

Ability to interpret data and prepare management-level reports

Strong organizational and time-management skills

Attention to detail and accuracy

Ability to work independently and under pressure

Professional demeanor and discretion
