Job Description

  • Role & responsibilities

1. Strategic Coordination & Support

  • Act as a trusted advisor to the MD/ Director and to the senior leadership.
  • Serve as the central liaison between the Managing Director / Director and all internal departments and external stakeholders.
  • Support leadership in developing, implementing, and monitoring strategic plans and business objectives.
  • Assist in strategic planning, execution, and monitoring of key business initiatives.
  • Track organizational priorities and provide updates on progress, risks, and interventions required.
  • Prepare reports, presentations, and briefing documents for leadership and board reviews.
  • Provide analytical insights to support strategic decisions and business planning.

2.Scheduling, Meetings & Coordination

  • Act as the primary liaison between the MD / Director and internal teams.
  • Manage the leaderships calendar and ensure efficient scheduling of strategic and operational meetings.
  • Drive agenda setting, documentation, and follow-ups from key meetings to ensure timely closure of action points.
  • Attend meetings when required, record minutes, and ensure decisions are accurately communicated to concerned teams.
  • Coordinate with internal teams, clients, and partners to ensure seamless flow of information and alignment with leadership directives.

3. Operational Efficiency & Governance

  • Facilitate interdepartmental coordination to ensure alignment of operations with organizational goals.
  • Review departmental reports, proposals, and submissions for accuracy, clarity, and strategic fit.
  • Support leadership in administrative approvals, budgeting, and resource allocation processes.
  • Oversee preparation of data and documents required for decision-making and management reviews.
  • Identify bottlenecks or operational challenges and recommend corrective measures.

4. Documentation & Record Management

  • Maintain organized and secure records of correspondence, reports, contracts, and confidential documents.
  • Develop and manage digital and physical filing systems to ensure efficient retrieval and reference.
  • Prepare concise summaries, analytical reports, and presentations as required by the Managing Director / Director.

5. Confidentiality & Professional Conduct

  • Handle sensitive information with the utmost discretion and professionalism.
  • Maintain confidentiality in all matters related to strategic initiatives, personnel, and business operations.
  • Uphold high standards of integrity, judgment, and ethical conduct while representing the leadership office.

Preferred candidate profile

  • Experience supporting top leaders like the Chairman, MD, Director, or CEO
  • Skilled in managing busy schedules, meetings, and travel plans
  • Strong at coordinating big projects across different teams
  • Good at preparing reports, presentations, and confidential documents
  • Comfortable acting as the link between leadership and the rest of the company
  • Proven ability to build strong relationships inside and outside the organization
  • Able to handle sensitive information with trust and discretion
  • Experienced in improving processes and making office operations more efficient
