Business License Process Specialist

The License and Permit Agent works with U.S. governmental bodies to obtain new or renewal applications, along with managing various types of licenses and permits. The main objective is to ensure that all licensing and permitting procedures are followed correctly and submitted to obtain a valid license or permit for retail stores. This role involves completing applications accurately and processing them in accordance with State, City and County regulatory government bodies. Overall, the process entails ensuring that all licenses and permits are renewed on time and that any associated fees are paid to each jurisdiction on specified due dates

Key Responsibilities

• Preparing and submitting applications for various retail licenses and permits required. Including Gross Receipts calculation and submission
• Ensure that all applications are accurately completed with required data before submitting license or permit application to jurisdictions and payment disbursements.
• Communicating and liaising with relevant government and regulatory bodies during research and submission efforts. Including monitoring centralized email inbox and responding to all incoming inquires and executing follow up protocols to ensure timely response and resolution
• Collaborate with Onshore teams to gather required documents and secure approvals.
• Calculate fees, process payments, and maintain proof of transactions.
• Investigate and resolve any discrepancies or issues related to licenses and permits
• Maintain records of issued and expired licenses and permits to accurately track renewal requirements.
• Document recent process updates received from Onshore teams in SOPs and maintain an Exception Tracker.
• Demonstrate excellent communication, professional email writing, and effective call handling skills in all interactions.

Experience

• 3 + years of experience in business licensing and permitting field, including experience in customer service and administrative support.

Skills & Competencies

We are seeking a detail-oriented License and Permit Specialist to process and monitor retail licenses and permits. Candidates should have a strong understanding of local, state, and federal permit and licensing requirements, and have excellent organizational and communication skills.

• Ability to interpret information from jurisdictions and apply logic and understanding to license requirements and application mandates.
• Proficiency in reviewing, monitoring and completing licensing and/or permit applications
• Strong attention to detail on every aspect of the business license/permit process. Requires thorough review and audit of all licensing applications.
• Identify and mitigate potential risks associated with licensing and permit processing
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
• Communication: Excellent verbal and written communication skills (Calling with jurisdiction and clients).
• Familiarity with ERP/Oracle, licensing tracking tools, and other relevant applications.
