Billing Executive

1. Billing Responsibilities

• Prepare customer invoices on time as per company guidelines.
• Check and verify all supporting documents before billing (DO, PO, challan, measurement sheet, rate contract, etc.).
• Ensure accurate billing of quantities, rates, taxes (GST), discounts, freight, and other charges.
• Generate sales invoices, credit notes, debit notes as required.
• Maintain daily billing registers and keep records updated.
• Coordinate with the dispatch team to ensure billing is generated immediately after material dispatch.
• Send invoices to customers through email/WhatsApp or physical copies.
• Follow up with clients for acknowledgment of invoices.

2. ERP Data Entry Responsibilities

• Enter all sales, purchase, and production data accurately into the ERP system.
• Update daily dispatch entries in ERP (vehicle details, batch data, quantity, customer name, site name, etc.).
• Maintain raw material inward/outward entries in ERP.
• Update stock consumption and closing stock in ERP on a daily basis.
• Ensure real-time data entry to avoid mismatch between physical and ERP stock.
• Assist accounts in monthly closure of ERP data.

3. Coordination & Documentation

• Coordinate with the plant, dispatch, sales, and accounts teams for correct data.
• Maintain proper filing of all invoices, challans, bills, and ERP reports.
• Ensure all documents are scanned and stored in digital format.
• Handle customer queries related to billing and dispatch.

4. Reporting

• Prepare daily sales/billing report.
• Maintain pending billing list and update daily.
• Share daily dispatch summary with management.
• Assist in preparation of monthly MIS reports.

5. Compliance & Accuracy

• Check GST applicability, HSN codes, and customer GST details.
• Ensure no errors in entries to avoid accounting and tax issues.
• Regularly check ERP for data accuracy and rectify mismatches.
• Ensure confidentiality of company data.

Job Types: Full-time, Permanent, Fresher

Pay: ₹10,000.00 - ₹13,000.00 per month
