Job Description

Roles and Responsibilities

1. Eligibility Files (20%)

  • Work closely with external vendors and internal IT to maintain eligibility file transfers, identifying issues and resolutions for active and COBRA populations.
  • Read and interpret vendor file specifications, collaborating with IT to validate and maintain data file integrity for 40+ vendors.
  • Manage retiree population eligibility files (inbound and outbound) for Medicare exchange; provide guidance to Benefit Coordinator on retiree data.
  • Coordinate with vendors on new account structures and translate values into internal account structures for integrations.
  • Assist Sr. Analyst with 401k eligibility validation.

2. Reporting (20%)

  • Build and maintain ad hoc reports as per internal customer requirements, including census data and absence reporting.
  • Conduct data audits for employee fields to ensure data integrity.
  • Lead W2, Highly Compensated Employee (HCE), and Health Savings Account (HSA) benefit reporting requirements for year-end payroll processing.

3. System Configuration & Enrollment Data Management (55%)

  • Test and maintain new and existing benefit plan configurations, qualifying life events, and act as project lead for annual open enrollment. Provide approvals for all migrations to production.
  • Lead Oracle quarterly patch testing, conduct audits, and validate employee elections, integrations, and life events.
  • Act as project lead for Absence/Time Off projects, implementing plan changes due to compliance and brand requests; partner with IT, Total Rewards, Payroll, and HR Administration teams to test, validate, and approve for production.
  • Serve as liaison between Total Rewards and IT, identifying configuration and integration needs.

4. Process, Procedures & Compliance (5%)

  • Create and maintain process and procedure documentation for benefits, absence/time off, and retiree benefits.
  • Ensure administration of programs in compliance with policies and regulations (ERISA, HIPAA, DOL, ACA, etc.).
