Job Description

Key Responsibilities:

1.

  • Manage the COOs calendar, including internal/external meetings, site visits, reviews, and discussions with stakeholders.
  • Prioritize and filter communication emails, calls, meeting requests, and submissions.
  • Prepare notes, reports, business briefs, and documentation ensuring the COO is meeting-ready at all times.
  • Maintain confidentiality and handle all sensitive business information with discretion.
  • Maintain strict confidentiality and professionalism in handling sensitive information.

2.

  • Monitor sales performance metrics, pipeline progress, upcoming closures, and follow-up requirements.
  • Coordinate with Sales, Marketing, CRM, and Projects teams to maintain alignment of information and timelines.
  • Assist in preparing sales reports, MIS, dashboards, presentations, proposals, and pitch decks.
  • Facilitate and coordinate customer interactions, channel partner engagements, property showcases, and business meetings.

3.

  • Conduct research on land parcels, market value, demography, project feasibility, competition, and zoning details.
  • Maintain structured databases of land banks, owners, developers, proposal stages, and due diligence records.
  • Track and compile enquiries received from

    , ensuring timely follow-ups and status visibility.
  • Prepare proposal drafts, comparative studies, deal folders, and land evaluation documentation for management review.
  • Coordinate with

    builders, developers, consultants, and landowners

    for information exchange, documentation, and meeting scheduling.

4.

  • Schedule, document, and circulate Minutes of Meetings (MOMs) with clear ownership and timelines.
  • Maintain task trackers and follow up for timely completion of deliverables.
  • Organize and archive business files, agreements, proposals, communication logs and records.

5.

  • Plan and coordinate complete travel arrangements, itineraries, stay, and ground logistics for the COO.
  • Accompany the COO for events, land visits, business meetings, and external interactions when required.

6.

  • Act as a single point of coordination between senior stakeholders, land aggregators, sales teams, and external parties.
  • Ensure smooth information flow and clarity in deliverables to support business decision-making.

Required Skills and Experience:

  • 2–3 years experience as Executive Assistant/Sales Coordinator/Business Support role in real estate preferred.
  • Ability to analyze research data, prepare structured proposals, and maintain high-quality documentation.
  • Excellent verbal & written communication skills with strong follow-up discipline.
  • Proficient in MS Office (Excel, PowerPoint, Outlook, Word); CRM exposure is an added advantage.
  • Strong data management, analytical thinking, and multitasking capabilities.
  • Must be detail-focused, deadline-driven, and capable of independent execution.
  • Flexibility for travel as per business needs.
  • Preference for candidates with

    Southern India work experience

    and

    an engineering academic background
