Job Description

Key Responsibilities:

  • Document Management:

  • Organize and classify documents for efficient storage and retrieval.
  • Maintain accurate records of stored documents in physical and electronic formats.
  • Compliance & Security

    :
  • Ensure adherence to company policies, legal, and regulatory requirements for document storage.
  • Implement security measures to protect sensitive information.
  • Digital Archiving:

  • Scan and digitize physical documents for electronic storage.
  • Manage document management systems (Kastle/Salesforce) and update metadata for easy searchability.
  • Inventory & Audits:

  • Conduct regular vendor site audits of stored documents to ensure accuracy and completeness.
  • Track document lifecycle and manage timely disposal of obsolete records.
  • Inventory recon.
  • Coordination:

  • Collaborate with internal departments to fulfill document retrieval requests.
  • Collaborate with vendor ground staff team (both skilled & unskilled staff) to fulfil documents retrieval and refilling requests.
  • Support projects related to document migration or system upgrades.
  • Validation/reconciliation of soft data Vs monthly physical documents dispatched details.
  • Validation/reconciliation of monthly invoicing.
  • Vendor site visits at regular intervals for vendor audits and projects.
