Role Overview

day-to-day administrative operations

Key Responsibilities

1.

Facility & Infrastructure Management

  • Ensure

    upkeep of factory premises, offices, washrooms, and utilities

    .
  • Monitor

    housekeeping staff and contractors

    to maintain hygiene standards.
  • Oversee

    canteen facilities, drinking water, pest control, and waste disposal

    .
  • Coordinate with

    maintenance team

    for timely repair of office assets.

2.

Security & Safety

  • Supervise

    security personnel

    and ensure effective access control for people & materials.
  • Maintain

    CCTV functioning and reporting

    .
  • Support

    fire safety and EHS compliance

    by coordinating with concerned teams.

3.

Transport & Logistics Support

  • Arrange

    transportation for employees, visitors, and material movements

    .
  • Ensure timely billing and cost optimization for transport vendors.
  • Maintain proper logbooks and trip records.

4.

Vendor & Contract Management

  • Manage contracts for

    housekeeping, security, canteen, pest control, and other services

    .
  • Verify vendor bills against service levels and forward for payment.
  • Identify areas for

    cost saving and efficiency improvement

    .

5.

Statutory & Compliance Support

  • Assist in ensuring

    PF, ESI, labour laws, and contract labour compliance

    for admin-related vendors.
  • Maintain updated

    licenses, approvals, and records

    relevant to admin operations.

6.

General Administration

  • Handle

    stationery, office supplies, printing, and consumables

    .
  • Support HR in managing

    attendance, visitor records, and employee welfare activities

    .
  • Maintain

    MIS reports

    on admin expenses, vendor performance, and cost analysis.
  • Support in

    factory audits (statutory, quality, social audits)

    .

Qualifications & Experience

  • Graduate in

    Commerce / Arts / Management

    (preferred).
  • 3–5 years of experience in

    factory / industrial administration

    .
  • Knowledge of

    vendor management, compliance basics, and admin cost control

    .
  • Familiarity with

    ERP systems / MS Office / reporting tools

    .

Skills & Competencies

  • Strong coordination and communication skills.
  • Good negotiation and vendor handling.
  • Eye for detail in cost tracking and compliance.
  • Problem-solving and ability to manage day-to-day crises.
  • Team player with discipline and reliability.

KPIs (Key Performance Indicators)

  • Hygiene & housekeeping audit scores.
  • Security incidents (zero tolerance goal).
  • Admin cost vs. budget (monthly).
  • Vendor payment accuracy & timeliness.
  • Employee satisfaction with admin services.
