Job Summary

The Senior Executive General Administration is responsible for overseeing and managing all administrative, facility, and support operations of the organization. The role ensures efficient office management, regulatory compliance, vendor coordination, and seamless support to senior leadership and business teams within the real estate organization.

Key Responsibilities

Administrative & Office Management

  • Lead and manage day-to-day administrative operations across corporate and site offices
  • Develop and implement administrative policies, procedures, and best practices
  • Ensure smooth functioning of office infrastructure, facilities, and support services

Facilities & Asset Management

  • Oversee maintenance of offices, project sites, and common facilities
  • Manage company assets including equipment, vehicles, and office supplies
  • Coordinate with facility management teams for safety, security, and housekeeping

Vendor & Contract Management

  • Identify, negotiate, and manage vendors for admin-related services
  • Monitor service-level agreements (SLAs) and control administrative costs
  • Ensure timely renewals and compliance of service contracts

Compliance & Documentation

  • Ensure adherence to local laws, statutory regulations, and company policies
  • Oversee documentation related to leases, licenses, insurance, and permits
  • Coordinate audits related to administrative and facility operations

Support to Senior Management

  • Provide administrative and operational support to senior leadership
  • Coordinate travel, meetings, events, and board-level logistics as required
  • Act as a liaison between management, departments, and external stakeholders

Team Leadership & Coordination

  • Lead and mentor administrative staff and support teams
  • Set performance goals and conduct evaluations
  • Foster a culture of efficiency, accountability, and service excellence

Qualifications & Experience

  • Bachelors degree in Business Administration, Management, or related field
  • 310+ years

    of experience in administration, preferably in the

    real estate or construction industry

  • Proven experience in senior or executive-level administrative roles

Skills & Competencies

  • Strong leadership and people-management skills
  • Excellent organizational and multitasking abilities
  • Sound knowledge of facilities management and compliance requirements
  • Strong negotiation and vendor management skills
  • Proficiency in MS Office and administrative systems
  • Excellent communication and stakeholder management skills
