Job Description

The Admin & Facility Manager will be responsible for overseeing administrative operations and facility management across multiple locations. This role ensures smooth day-to-day functioning of offices, vendor management, compliance, infrastructure upkeep, and timely support to teams. The position requires strong coordination skills, high ownership, and the ability to manage diverse facility needs across geographically dispersed sites.

Key Responsibilities1. Facility & Infrastructure Management

  • Oversee maintenance, housekeeping, repairs, and office infrastructure across all locations.
  • Ensure availability of utilities, furniture, equipment, and workstations as per requirements.
  • Conduct periodic facility audits to maintain hygiene, safety, and operational standards.
  • Coordinate with landlords for building-related activities, agreements, and issues.
  • Ensure AMC (Annual Maintenance Contracts) for all equipment are updated and monitored.

2. Administration & Office Operations

  • Manage day-to-day office administration including office supplies, travel, courier, pantry, and logistics.
  • Develop SOPs for admin operations across locations and ensure compliance.
  • Handle office relocations, expansions, or setup of new locations as needed.
  • Ensure adherence to company policies and administrative controls.

3. Vendor & Contract Management

  • Identify, negotiate, and manage vendors for housekeeping, security, maintenance, transport, and other services.
  • Evaluate vendor performance and ensure service-level agreements (SLAs) are met.
  • Manage procurement of admin-related items while optimizing cost and quality.

4. Safety, Security & Compliance

  • Ensure compliance with statutory norms related to office facilities (fire safety, licenses, occupancy, etc.).
  • Oversee security operations across locations, including access control and visitor management.
  • Drive safety initiatives, emergency preparedness, and regular safety drills.

5. Budgeting & Cost Control

  • Prepare and manage the annual admin & facility budget.
  • Monitor expenses and implement cost-effective solutions without compromising quality.
  • Track and report admin costs for each location with appropriate documentation.

6. Team Management

  • Lead and supervise admin staff, facility executives, and support staff across multiple locations.
  • Conduct periodic reviews, assign tasks, and ensure performance standards are met.
  • Provide training and support to improve team efficiency.

Job Type: Full-time

Pay: ₹15,051.16 - ₹35,129.05 per month
