Position Overview

The Admin Executive will support the Vice-Chancellor’s Office in daily coordination, documentation, scheduling, communication, and follow-ups. This role demands high professionalism, confidentiality, discipline, and the ability to manage tasks smoothly in a fast-paced academic environment.

Key Responsibilities :


1. Office Coordination & Administration

  • Manage the day-to-day operations of the VC Office with efficiency and discretion.
  • Maintain calendars, schedules, appointments, and meeting coordination for the Vice-Chancellor.
  • Handle visitor management, meeting room arrangements, and hospitality for guests.
  • Maintain proper filing systems (physical & digital) for letters, approvals, minutes, and records.

2. Communication & Documentation

  • Draft, type, and format official letters, emails, circulars, and internal communications.
  • Prepare meeting agendas, minutes, follow-up notes, and action trackers.
  • Coordinate with Deans, Directors, faculty, and administrative departments for information flow.

3. Follow-ups & Coordination

  • Track action items issued from the VC Office and follow up with stakeholders for timely completion.
  • Ensure smooth coordination between the VC’s office and all academic/administrative units.
  • Assist in organizing University events, reviews, and academic council meetings.

4. Confidential Support

  • Handle sensitive information with strict confidentiality.
  • Ensure professional conduct in all interactions on behalf of the VC Office.

5. General Administrative Support

  • Oversee logistics, travel coordination and small arrangements as needed.
  • Support special projects, documentation tasks, or administrative assignments as directed by the VC.

Requirements

  • Graduate in any discipline; additional administrative or secretarial training is an advantage.
  • 3–5 years’ experience in administrative roles, preferably in higher education or a corporate office.
  • Strong communication (written & verbal), drafting, and documentation skills.
  • Excellent organizational abilities with attention to detail.
  • Proficiency in MS Office, email management, and digital tools.
  • Ability to multitask, manage deadlines, and work with senior leadership.
