Role & responsibilities Job Description The Candidate will provide administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks to assist the manager and other staff members, allowing them to focus on their primary responsibilities. The ideal candidate will be competent in prioritizing tasks, comfortable working with minimal supervision, and have excellent communication skills. Work Status: Full-time position with supported hours between 9:00 am and 6:00 pm IST (India Standard Time). Primary Job Functions include: • Excellent organizational and analytical skills • Work closely with the leadership teams, partner teams, and other Executive Assistants to provide support to the organization across multiple geographical regions. • Communication Handling: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing correspondence, emails, and phone calls. • Responsible for creating, updating, and maintaining meeting agendas, ensuring all information is accurate and up to date, including ad hoc changes. • Maintain and update weekly meeting packs and documents in OneNote, ensuring accuracy and organization by regularly cleaning up outdated content. • Coordinate with the accounts team to collect, proofread, and finalize brief documents and Minutes of Meeting (MOM), ensuring timely distribution to relevant stakeholders. • Administrative Support: Provide comprehensive administrative support, including drafting and editing correspondence, preparing reports, and maintaining accurate records. • Meeting Coordination: Arrange and organize meetings, conferences, and events, including logistical arrangements, agenda preparation, and documentation. • Confidentiality Management: Maintain strict confidentiality of sensitive information, exercising discretion in handling confidential documents and communications. • Coordinate and manage executives' schedules, including appointments, meetings, and travel arrangements, ensuring efficient time utilization. • Task Prioritization: Anticipate and prioritize tasks, deadlines, and deliverables, ensuring timely completion and proactive follow-up on pending issues. • Documentation Management: Manage and maintain filing systems, databases, and other organizational tools, ensuring easy retrieval and access to relevant information. • Project Support: Provide administrative support for special projects and initiatives, coordinating resources, tracking progress, and facilitating communication among team members. • Ad Hoc Support: Assist executives with ad hoc tasks and projects as required, demonstrating flexibility and willingness to contribute to the overall success of the team.
