The Admin cum Operations Coordinator (West Mumbai) will support the Senior Vice President by managing calendars, meetings, travel, and daily operational tasks. The role involves coordinating with the sales team for reports and updates, preparing dashboards and presentations, handling internal communication, and ensuring smooth cross departmental coordination. The candidate will also manage procurement needs, vendor coordination, and assist in organizing corporate events. This position requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast paced, start up environment.

Roles & Responsibilities

  • Manage the Sr. Vice President s (SVP) calendar by coordinating schedules, arranging internal and external meetings, and ensuring timely reminders.
  • Organize travel plans, including flight bookings, accommodation, and meeting logistics to support smooth business travel.
  • Prepare structured meeting agendas, compile relevant sales reports, and develop presentations to support sales operations.
  • Monitor and follow up on ongoing tasks to ensure timely completion of action points assigned through the SVP s office.
  • Coordinate with the sales team to gather daily operational updates, MIS reports, pipeline information, and client follow up details.
  • Assist in preparing sales dashboards, monthly performance summaries, and business review documents for internal and leadership use.
  • Support the SVP in tracking team activities, collecting required data, and ensuring timely submission of reports and performance metrics.
  • Facilitate clear communication and coordination between the sales team and other departments such as marketing, operations, and finance.
  • Draft internal communications, prepare emails and notices, and manage follow up reminders for various operational tasks.
  • Assist with procurement activities and manage office essentials required for smooth sales operations.
  • Contribute to planning and executing corporate events, conferences, roadshows, and customer engagement programs.
  • Coordinate with vendors for materials, services, and support required for sales and marketing operations.

Key Requirements

  • Bachelor s degree in any discipline
  • 1 3 years of experience in operations, admin, or EA roles
  • Excellent organizational and multitasking skills
  • Strong verbal and written communication.
  • Proficient in MS Office / Google Workspace tools.
  • Comfortable working in a fast paced, start up environment.
