Key Responsibilities

• QuickBooks Online Advanced Management

• Review and clean up historical data migrated from QuickBooks Desktop Premier
• Reconcile accounts, ensure accuracy of entries, and maintain clean books

• Accounts Payable (AP)

• Design and implement AP process for vendor invoices and payments
• Track vendor invoices against customer billing (reseller model)
• Support automation opportunities for efficiency

• Accounts Receivable (AR)

• Implement a structured AR process (invoicing, collections, aging reports)
• Ensure all billable entries are invoiced on time and reconciled with contracts

• Tax Compliance

• Identify and support state and federal tax obligations (sales tax nexus across states, SaaS, and resale rules)
• Prepare data and documentation for external CPA/tax filings

• Industry-Specific Knowledge

• Experience with software and hardware resale accounting
• Understand margin tracking, vendor credit terms, and tax implications for resale

• Process Improvement

• Document procedures for AP/AR and bookkeeping workflows
• Recommend tools/integrations to optimize efficiency and reduce errors

Qualifications

• 5+ years bookkeeping/accounting experience (CPA license a plus, but not required)
• Strong expertise in

  QuickBooks Online Advanced

  (migration experience from Desktop a plus)
• Proven track record of

  AP/AR process design and cleanup projects

• Knowledge of

  state sales tax

  compliance for multi-state SaaS/reseller businesses
• Familiarity with

  IT services and technology resellers

  (preferred)
• Strong attention to detail and ability to work independently
• Excellent communication skills, able to document and train internal staff on processes

Schedule & Compensation

• Part-time

  : 10–20 hours/week initially (may grow with company needs)
• Flexible hours, remote work
• Competitive hourly rate or fixed monthly retainer (based on experience)
