Job Description

About the Role:

We are looking for an organized and efficient Ward Secretary to support smooth operations within the hospital ward. The Ward Secretary will manage administrative tasks, coordinate communication between medical staff and patients, and ensure accurate record-keeping to facilitate high-quality patient care.

Key Responsibilities:

  • Maintain and update patient records, admission, discharge, and transfer documentation accurately.
  • Coordinate daily ward activities, including patient appointments, admissions, and discharges.
  • Act as the communication hub between doctors, nurses, patients, and other hospital departments.
  • Prepare and manage ward schedules, duty rosters, and documentation as per hospital protocols.
  • Handle telephone calls, inquiries, and correspondence related to the ward.
  • Assist in maintaining inventory of ward supplies and report any shortages to the concerned department.
  • Ensure compliance with hospital policies and confidentiality standards.
  • Support the nursing and medical team with clerical tasks to facilitate smooth patient management.
  • Record and communicate any patient grievances or feedback to the appropriate personnel.

Key Qualifications & Skills:

  • Minimum high school diploma or equivalent; diploma/certificate in healthcare administration or hospital management is preferred.
  • 1-2 years of experience in hospital administration, ward coordination, or related role.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Hospital Information Systems (HIS) and MS Office applications.
  • Ability to work effectively in a fast-paced, multidisciplinary environment.
  • Attention to detail and strong record-keeping skills.

Work Environment:

  • Fast-paced hospital ward setting.
  • Rotational shifts including weekends and holidays.
  • Frequent interaction with patients, healthcare professionals, and support staff.

Job Type: Full-time

Pay: From ₹15,000.00 per month

Ability to commute/relocate:

  • Chennai, Tamil Nadu: Reliably commute or planning to relocate before starting work (Preferred)

Language:

  • English (Preferred)
