Job Title: Tender/Bid Lead Department: Business Development / Sales Reports to: Director of Global Sales Location: Pune Employment Type: Full-time Job Overview: The Tender/Bid Head is responsible for leading and managing the bid process for tender submissions in the travel industry, including overseeing the creation, coordination, and submission of proposals. The role involves close collaboration with internal departments (sales, marketing, operations, legal) and external stakeholders to ensure the successful and timely submission of competitive bids. The Tender/Bid Lead ensures that all bid documents are in compliance with client requirements, regulatory standards, and the companys policies and objectives. Key Responsibilities: 1. Tender Management: o Lead and manage the end-to-end tender process, from initial receipt of tender documents to final submission and post-submission follow-up. o Review tender documentation and create a clear understanding of requirements, ensuring that the companys proposal aligns with client needs. o Develop tender strategies in collaboration with cross-functional teams to ensure competitive and compelling submissions. o Coordinate with various departments (sales, legal, finance, operations) to gather necessary information for the proposal. 2. Bid Preparation: o Prepare and manage responses to RFPs (Request for Proposals), RFQs (Request for Quotations), and other tender-related documents. o Lead the creation of compelling, high-quality bid documents, ensuring compliance with all requirements and client specifications. o Work with subject matter experts (SMEs) to develop cost estimates, timelines, and proposed solutions. o Ensure all submissions are on time, within scope, and adhere to tender guidelines.
3. Stakeholder Engagement: o Act as the primary point of contact for all tender-related inquiries, both internally and externally. o Maintain strong relationships with clients, partners, and suppliers throughout the bidding process. o Collaborate with the sales team to ensure that tenders are aligned with company sales strategies and market positioning. 4. Risk Management & Compliance: o Identify and manage potential risks associated with tenders, ensuring that bids are commercially viable and legally compliant. o Review contracts and legal terms to ensure that the companys interests are protected. o Monitor industry regulations, standards, and best practices to ensure compliance in all tender submissions. 5. Continuous Improvement: o Develop and implement processes to improve the efficiency and effectiveness of the bidding process. o Analyze past tender responses and feedback to improve future proposals. o Stay informed of industry trends, competitor activities, and new opportunities for bidding. 6. Team Management & Leadership: o Lead and mentor a team of bid Execuitves, writers, and coordinators. o Provide training and guidance to junior team members on tender processes and proposal writing best practices. o Foster a collaborative and results-driven team environment. Required Skills and Qualifications: • Experience:
o Proven experience (5+ years) in a tender/bid management role,
preferably within the travel industry. o Strong experience in preparing, submitting, and winning tenders and proposals. o Experience in managing a team and working with cross-functional departments. • Technical Skills: o Excellent written and verbal communication skills. o Proficient in MS Office (Excel, Word, PowerPoint) and proposal management software. o Strong organizational and time-management skills to handle multiple bids simultaneously. • Knowledge: o Knowledge of the travel industry, including trends, key players, and market dynamics. o Understanding of legal and contractual frameworks relevant to the travel and hospitality sectors. o Familiarity with pricing models and cost estimation techniques. • Personal Attributes: o Strong attention to detail and the ability to work under pressure to meet deadlines. o Excellent interpersonal and negotiation skills, with the ability to collaborate across departments. o Results-oriented with a focus on achieving business objectives. Preferred Qualifications: • Bachelors degree in Business Administration, Marketing, Tourism Management, or a related field. • Postgraduate qualification or certifications in bid management or project management (e.g., APMP Association of Proposal Management Professionals). • Knowledge of tendering platforms and digital tools used in bid management.
