Job Summary:

The Travel Desk Executive is responsible for managing and coordinating travel arrangements for employees, clients, or guests. This includes booking flights, hotels, ground transportation, and ensuring travel requirements comply with the company's policies. The role requires excellent organizational skills, attention to detail, and strong communication abilities.

Key Responsibilities:

  • Travel Bookings: Arrange domestic and international flights, hotels, and ground transportation for employees and clients, ensuring cost-effective and timely travel plans.
  • Visa & Documentation Support: Assist in obtaining visas, travel insurance, and other travel-related documents required for international travel.
  • Expense Management: Monitor travel expenses and ensure adherence to company travel policies and budgets.
  • Travel Itinerary Management: Prepare detailed travel itineraries, including flight schedules, accommodation details, and transport logistics.
  • Vendor & Supplier Relations: Build and maintain relationships with airlines, hotels, travel agencies, and other travel-related vendors to secure the best rates and services.
  • Travel Policy Compliance: Ensure all travel arrangements comply with the organization’s travel policies and procedures.
  • Problem Solving: Address travel-related issues such as flight cancellations, delays, or changes to bookings by providing timely solutions.
  • Customer Service: Provide support and assistance to travelers, including last-minute travel changes, answering queries, and handling emergencies.
  • Travel Data Management: Maintain up-to-date travel records, reports, and databases using travel management software.
  • Cost Savings Initiatives: Look for opportunities to optimize travel costs and recommend more efficient processes or partnerships.
  • Emergency Support: Be available for after-hours emergencies related to travel plans or logistics.

Key Skills & Qualifications:

  • Education: Bachelor’s degree in Travel Management, Hospitality, or related field.
  • Experience: 2-5 years of experience in corporate travel management, hospitality, or a similar role.
  • Technical Skills: Proficiency in travel management software (e.g., Amadeus, Sabre, Galileo) and MS Office (Word, Excel, PowerPoint).
  • Communication: Excellent written and verbal communication skills.
  • Attention to Detail: Strong organizational skills with a keen eye for detail.
  • Customer Service Orientation: Ability to handle customer inquiries with a calm and problem-solving mindset.
  • Time Management: Ability to work under pressure and handle multiple travel arrangements simultaneously.
  • Knowledge of Global Travel Regulations: Understanding of visa requirements, health regulations, and foreign exchange rates.
  • Flexibility: Willingness to be available outside regular working hours for urgent travel-related issues.

Job Types: Full-time, Permanent

Pay: Up to ₹500,000.00 per year
