Job Description – Tour Package Executive

Position Overview:

We are looking for a detail-oriented and customer-focused Tour Package Executive to handle domestic and international tour enquiries, itinerary preparation, costing, bookings, and client coordination. The ideal candidate should have good destination knowledge, strong communication skills, and the ability to manage end-to-end tour operations.

Key Responsibilities:

1. Enquiry Handling & Itinerary Preparation

• Respond to customer enquiries via calls, email, and WhatsApp.
• Understand client travel needs and recommend suitable destinations and packages.
• Prepare customized itineraries based on client requirements.
• Provide package pricing, inclusions, and detailed tour information.

2. Costing & Quotation

• Prepare costing sheets and final package quotations.
• Maintain competitive pricing by coordinating with vendors and DMCs.
• Ensure accuracy in costing, inclusions, and service details.

3. Booking & Operations

• Handle bookings for hotels, flights, transfers, sightseeing, and activities.
• Coordinate with suppliers, DMCs, and service providers for confirmations.
• Ensure proper documentation for travel, including vouchers, invoices, and confirmations.
• Assist with visa documentation (if required).

4. Client Coordination

• Maintain smooth communication with clients before and during the trip.
• Provide timely support for any changes, issues, or special requests.
• Ensure high-quality service and customer satisfaction.

5. Vendor & Partner Coordination

• Work closely with hotels, transport providers, travel partners, and DMCs.
• Negotiate rates and check availability for tour components.
• Maintain strong relationships with travel suppliers.

6. Reporting & MIS

• Maintain daily work reports and enquiry follow-up sheets.
• Track conversions, enquiries, bookings, and sales performance.
• Update package details, offers, and promotional content when required.

Required Qualifications & Skills:

• Graduate in Tourism, Hospitality, or related field (preferred).
• 1–3 years of experience in tour package operations (Domestic/International).
• Strong knowledge of destinations, itineraries, and travel planning.
• Good communication skills (English, Hindi, Bengali preferred).
• Proficiency in MS Excel, Email drafting, and basic booking tools.
• Ability to multitask, stay organized, and manage timelines.
