Tender Officer

1. Tender Identification & Monitoring

• • Regularly monitor GEM, CPPP, and other e-procurement portals for new tenders relevant to the companys products and services.

• • Filter and shortlist tenders as per eligibility, technical requirements, and commercial feasibility.

• • Track corrigenda, addendums, and clarifications issued by departments.

2. Documentation & Filing

• • Prepare and submit bids (technical and financial) on GEM and CPPP within deadlines.

• • Ensure all mandatory documents (MSME, NSIC, ISO, OEM certificates, authorization letters, tax documents, etc.) are updated and uploaded.

• • Draft, compile, and verify technical specifications, compliance sheets, and supporting documents.

• • Coordinate with internal teams for product details, pricing, and certifications.

3. Portal Management

• • Manage company profile and vendor registration on GEM and CPPP, including KYC, digital signature (DSC), and credential updates.

• • Handle catalog listing and product/service uploads on GEM with correct pricing and specifications.

• • Respond to Reverse Auctions (RA), Bid Queries, and Online Clarifications raised during evaluation.

4. Compliance & Coordination

• • Ensure compliance with tender eligibility criteria and terms & conditions.

• • Liaise with finance team for EMD (Earnest Money Deposit), PBG (Performance Bank Guarantee), and related instruments.

• • Maintain confidentiality and comply with government procurement guidelines.

5. Post-Submission Activities

• • Track bid status, attend online bid openings, and follow up on evaluation results.

• • Handle contract award procedures, including order acceptance, GEM Contract fulfillment, and documentation.

• • Assist in timely renewal of certificates required for tender eligibility (MSME, ISO, GST, etc.).

6. Record-Keeping & Reporting

• • Maintain a database of all tenders applied through GEM/CPPP, with details of wins, losses, and reasons.
