Job Description

Tender Executive

Key Responsibilities:

(Keywords Included: Tendering, GEM Portal, Online Tendering, Documentation, Proposal Writing, Bid Management, Contract Evaluation, Stakeholder Coordination)

  1. Manage complete

    tendering processes

    across various portals including GEM, Government, PSU, BPCL, IOCL, Railway, and private portals.
  2. Prepare detailed

    tender synopsis

    , documentation, and ensure accuracy before submission.
  3. Handle

    online tender filing & uploading

    , including e-KYC, DSC application, and digital documentation.
  4. Coordinate and participate in

    physical tender processes

    , including reverse auctions and price negotiations.
  5. Execute general marketing and administrative tasks such as email drafting, letter drafting, mailing folders, etc.
  6. Manage activities from

    receipt of tender enquiry to contract award

    , ensuring seamless handover to operations.
  7. Maintain strong

    verbal and written communication skills

    for effective interaction with suppliers and stakeholders.
  8. Utilize

    MS Office, email, and computer applications

    for documentation and report generation.
  9. Work efficiently within

    strict deadlines

    , ensuring accuracy and excellence in all submissions.
  10. Review tender documents, scope of work, eligibility criteria, and financial requirements to assess qualification feasibility.
  11. Prepare presentations, risk matrices, and summaries for

    top management approval

  12. Evaluate bids and contracts based on pricing, quality parameters, and technical specifications.
  13. Monitor bid submissions to ensure compliance with tendering guidelines and timelines.
  14. Generate

    reports and analytical summaries

    on bid performance, contract costs, and commercial terms.
  15. Negotiate terms with suppliers and stakeholders to secure

    favourable contract agreements

  16. Use

    project management techniques

    and relevant software (including Agile HRMS tools) to manage tender projects efficiently.

Education & Experience Requirements:

  • Bachelor of Commerce (B.Com) or related field

  • Minimum 1 - 4 year of experience on the GEM Portal

  • Proven experience in

    Government, PSU, and private tendering

  • Strong knowledge of tendering workflows, contract management, and procurement norms
  • Proficiency in

    MS Office, documentation, proposal writing, and online tender systems
