Miles IT is looking for Striven Documentation Specialist [India] to join our dynamic team and embark on a rewarding career journey As a Documentation Specialist, your role is to create, manage, and maintain various types of documents and records within an organization
You will be responsible for ensuring that documentation is accurate, organized, and easily accessible for internal teams and stakeholders Your attention to detail and ability to organize information will contribute to the efficient functioning of processes and the overall effectiveness of the organization Responsibilities:Document Creation and Editing: Create and edit documents, including policies, procedures, work instructions, manuals, reports, and forms Ensure accuracy, clarity, and consistency in content, grammar, and formatting Document Management: Establish and maintain a document management system to organize and control the lifecycle of documents Implement version control, naming conventions, and file structures to facilitate easy retrieval and access Review and Approval: Collaborate with subject matter experts and stakeholders to review and obtain approval for documents Ensure compliance with organizational standards, industry regulations, and quality requirements Document Control: Implement document control processes, including document numbering, distribution, and tracking Maintain accurate records of document revisions, approvals, and obsolete documents Document Retrieval and Accessibility: Develop systems and processes to ensure the efficient retrieval and accessibility of documents for authorized personnel Ensure that appropriate security measures are in place to protect sensitive or confidential information Training and Communication: Provide training and support to users on document management processes and tools Communicate updates and changes to document templates, standards, and procedures to relevant stakeholders Continuous Improvement: Regularly assess and improve document management processes and systems Identify opportunities to streamline processes, enhance efficiency, and reduce errors Compliance and Auditing: Ensure compliance with applicable regulatory requirements, industry standards, and quality management systems Support internal and external audits related to document management processes Collaboration and Cross-Functional Support: Collaborate with different departments and teams to understand their documentation needs Provide guidance and support on document creation, management, and retrieval Requirements:Education: Bachelor's degree in a relevant field such as Technical Writing, English, Business Administration, or a related discipline A certification in document control or records management is advantageous Experience: Previous experience as a Documentation Specialist, Technical Writer, or in a similar role is preferred Experience in document control and management within a regulated industry is a plus Technical Writing Skills: Excellent written communication skills with a focus on creating clear, concise, and well-organized documentation Ability to present complex information in a user-friendly manner Attention to Detail: Meticulous attention to detail to ensure accuracy, consistency, and adherence to document standards Strong proofreading and editing skills Organizational Skills: Strong organizational skills to manage multiple documents, prioritize tasks, and meet deadlines Ability to establish and maintain document control systems effectively Document Management Software: Familiarity with document management software systems and tools Experience with electronic document management systems (EDMS) is desirable Collaboration and Communication: Strong interpersonal skills to collaborate with cross-functional teams and gather information effectively Ability to communicate and present information clearly and professionally Problem-solving Abilities: Strong analytical and problem-solving skills to address document-related issues and find practical solutions Ability to identify process improvement opportunities Compliance and Quality Mindset: Understanding of regulatory requirements and quality management systems related to documentation control Knowledge of relevant industry standards (ISO, FDA, etc) is advantageous
