Job Description

Role & responsibilities

1. Onboarding Coordination

  • Manage end-to-end onboarding process for new joiners across stores and corporate functions.
  • Issue onboarding kits in a timely manner & Manage Inventory
  • End to End responsible for pre-joining formalities completions, Welcome calls & Supports calls, joining documentation completion, and induction.
  • Ensure accurate entry of new hire data into HRMS and attendance systems.

2. Background Verification

  • Coordinate with external vendors to initiate and track background verification (BV) for all new hires.
  • Monitor the turnaround time (TAT) for BV checks and escalate delays.
  • Review verification reports and flag discrepancies to relevant stakeholders.
  • Maintain a repository of BV reports and ensure compliance with policy.

3. Query & Helpdesk Management

  • Act as the first point of contact for HR-related queries from employees (especially store-level employees).
  • Manage the HR query/helpdesk system (email, ticketing system, or call support).
  • Track, resolve, and close queries within defined SLAs.
  • Maintain query logs and identify recurring issues to suggest process improvements.

4. Compliance & Documentation

  • Ensure all employee documents are collected, verified, and stored as per company and audit requirements.
  • Maintain onboarding trackers, audit logs, and employee master data.
  • Support internal and external audits with required documentation.

5. Stakeholder Coordination

  • Liaise with regional HR, operations teams, and store managers to ensure smooth joining and onboarding experience.
  • Collaborate with payroll, IT, and admin teams to enable Day 1 readiness (access, ID cards, emails, etc.).
  • Support employer branding initiatives during onboarding and induction.

Preferred candidate profile

  • Bachelors degree in Human Resources, Business Administration, or related field.
  • 35 years of experience in HR operations, onboarding, or employee helpdesk roles.
  • Experience in high-volume environments (QSR, retail, hospitality, BPO) preferred.
  • Familiarity with background verification processes and vendor management.

Working knowledge of HRMS tools and ticketing systems is a plus
