Job Description

Key Responsibilities: Customer Interaction: Greet customers and inquire about service needs for commercial vehicles. Provide information on available services, maintenance schedules, and costs. Communicate clearly with customers regarding service status, recommendations, and any additional repairs or services needed. Service Coordination: Diagnose the vehicle’s issues based on customer input and service history. Schedule and prioritize vehicle service appointments, including routine maintenance, repairs, and emergency services. Coordinate with mechanics and technicians to ensure that work is completed accurately and efficiently. Estimates and Invoicing: Provide accurate cost estimates for repairs and maintenance. Prepare and issue service quotes, review parts, labor, and any additional fees. Process service orders and ensure proper documentation for billing and warranty purposes. Customer Service: Address any customer complaints, concerns, or questions promptly and professionally. Follow up with customers to ensure satisfaction after service completion. Promote customer loyalty through exceptional service and by offering preventative maintenance packages. Fleet Maintenance Coordination (if applicable): Oversee the maintenance schedules for fleet vehicles and ensure that all vehicles are kept in optimal working condition. Work with fleet managers to address issues that may arise and ensure proper vehicle downtime management. Inventory and Parts Management: Ensure that required parts are in stock or ordered in a timely manner. Track parts inventory and notify the parts department of any needs for reordering. Administrative Duties: Maintain detailed service records for each vehicle. Monitor and report on service department performance and customer satisfaction metrics. Stay up-to-date with industry trends, technology, and manufacturer-specific vehicle requirements. Skills and Qualifications: Strong knowledge of commercial vehicles, including maintenance, repair processes, and industry standards. Excellent communication and customer service skills. Ability to manage multiple service requests and prioritize effectively. Organizational skills and attention to detail. Proficient with service management software and basic office tools (e.g., Microsoft Office). Knowledge of vehicle parts and troubleshooting. Previous experience in a service advisor or similar role is preferred. A valid driver’s license and ability to inspect commercial vehicles is typically required. Physical Requirements: Ability to occasionally lift and carry equipment or parts. Ability to work in a garage environment with exposure to various vehicle systems, fluids, and noise levels.
