What this job involves:
Duties & responsibilitiesMonitor day to day technical operations activity for the site.Support to ensure adequate supply of materials including Electrical,plumbing, CarpentryCoordinate with t he landlord team t o ensure compliance with statutoryregulations on f ire, health and safety standards & building managementConduct weekly physical inventory f or stock management and raise I MTrequestsCoordinate with vendor staff & staff on site t o ensure t he smooth operation Routinely inspect t he building, have regular walk arounds and raise tickets f or closure of t he identified snags on a daily basisParticipate i n emergency evacuation procedures including crisismanagement and business continuityAssess & analysis of t he readings f or weekly & monthly reports on M & E,covering t he maintenance contracts, spare parts consumption, Incidentreports, Improvement projects etcSupport the assistant manager- technical in identifying energy management,saving opportunities, risk management.Ensure all t he electromechanical systems planned preventive maintenanceare undertaken i n accordance with t he 52 week calendarShare 2 min GUTS survey form t o users and take corrective action onthe users feedback, randomly meet users on a daily basis t ounderstand t he facilities servicesTrack Staff attendance through VMT toolCoordinate & support office renovation and refurbishment activities Support assistant manager- technical t o forecast t he regular & monthly spends for the monthSupport i n procurement process f or regular and ad hoc technicalactivitiesCoordinate with t he vendors t o receive monthly invoices ontime.Coordinate f or quarterly NDCs f or principle non principle vendorProvide a training t o t he onsite team equipments procedure & implementationRecommend continuous quality improvement practicesAdditional activity given by site services manager clientPerformance objectivesClient/Stakeholder ManagementProactively engage stakeholders t o ensure t hat on site clientsexpectations are met though high levels of customer serviceBuild and develop effective client stakeholder relationshipsacross multiple levels of the organisationProactively understand t he customers/ employees needs and acton t hem before being requestedFinance ManagementAccurate billing and i nvoicingAdherence t o t he monthly f orecastI nvoice management.Procurement & Vendor ManagementWork on getting quotations as per site needSharing i ndents f or monthly material supplyZero stock out of situation
