Job Description

Job Title: Senior Office Administration Manager – Group of Institutions

Job Purpose:

To lead, oversee and enhance all administrative functions across the group institutions and companies corporate office. This role ensures that campuses and companies operate efficiently, maintain compliance and deliver consistent quality of service, thereby supporting the organization’s mission and strategic growth.

Key Responsibilities:

1) Office Administration

  • Direct and supervise office administration teams, ensuring smooth day-to-day operations.
  • Standardize administrative processes and documentation across institutions and companies.
  • Oversee management of office records, approvals, correspondence, and document control.

2) Campus Operations

  • Coordinate and manage campus-level operations covering facilities and vendor services.
  • Develop and implement Standard Operating Procedures (SOPs) to ensure uniformity and quality.
  • Monitor campus infrastructure maintenance and improvement projects.

3) Process Improvement & Policy Implementation

  • Identify gaps in existing administrative and operational processes; propose and execute improvements.
  • Ensure consistent application of group-wide policies and accreditation requirements.
  • Implement digital tools or systems to streamline administration and reporting.

4) Budgeting & Cost Control

  • Prepare annual budgets for administrative and operational departments in consultation with campus heads.
  • Monitor expenditure against approved budgets; identify and implement cost-saving measures without compromising service quality.

5) Leadership & Coordination

  • Lead and mentor campus-level admin and operations staff; set clear performance expectations.
  • Act as the key liaison between management, academic leadership, and support service teams.
  • Conduct regular reviews and meetings to ensure alignment with institutional goals.

6) Reporting

  • Prepare and present periodic operational and administrative reports to senior leadership.
  • Track KPIs and operational performance metrics to support data-driven decision-making.

Qualifications & Skills:

  • Master’s degree in Business Administration / Management preferred is must.
  • 15–20 years of experience in administration and operations management, ideally in educational institutions and in companies
  • Strong leadership and team management skills.
  • Excellent organizational, problem-solving, and analytical abilities.
  • Good understanding of compliance, facilities management, and budget control.
  • Effective communication and interpersonal skills.
