Job Summary:

We are seeking a proactive and detail-oriented Senior Analyst - Operations (Admin) to establish and manage office operations from inception. In this dynamic role, you will be responsible for creating efficient processes, organizing resources, and ensuring the seamless functioning of the office. Your contributions will be pivotal in building a strong foundation for our organization.
 

Responsibilities:

  • Plan and coordinate administrative procedures and systems, devising ways to streamline processes such as travel, budgeting, housekeeping, AMC's, vendor empanelment & management, facility management, physical security/access control, etc.
  • Perform a variety of administrative duties, including generating and distributing office memos, official letters, forms, and sorting and distributing incoming mail as appropriate.
  • Manage company facilities, including vendor contracts and relations, floor space planning, and facilitating office events and services.
  • Support travel requirements by booking flights and handling travel logistics.
  • Ensure adherence to relevant company procedures and policies; support obtaining ISO and other organizational certifications and maintain adherence to certification requirements on an ongoing basis.
  • Manage vendors for cab services, food services, physical security, or as assigned. Gather feedback regularly to ensure quality service levels.
  • Coordinate visitor and employee entry into office premises and manage building access cards.
  • Oversee the meal card disbursement process.
  • Collaborate closely with the IT team for IT hardware requirements for employees.
  • Be willing to travel as needed to support multiple sites.
  • Maintain and control office supplies.
  • Draft, review, and redline various contracts, ensuring accuracy and compliance with company standards.
 

Requirements:

  • Proven work experience as an Office Administrator for a minimum of 10 years.
  • Excellent organizational and time management skills.
  • Hands-on experience with office management computer programs (MS Office suite, ERP, etc.).
  • Attention to detail; highly organized and willing to learn.
  • Experience in developing internal processes and filing systems.
  • Ability to maintain confidentiality of company information; ready to take additional accountability as necessary.
