Looking for a COO Implement and monitor all activities of COO secretariate, MIS, follow up activities with various department, functions, analyze data, preparation of reports as supportive function and deal/assist all correspondence and maintenance of documentation & records, handling misc. jobs such as guest relations, organising meeting, arranging travel plan, etc., in order to achieve the desired goals of the organisation. 3) Key Result Areas/Accountabilities: Key Result Areas/Accountabilities Supporting Actions Secretarial Job Assist COO in his routine correspondence See incoming letters/mails/fax Correspond independently Consult with COO and correspond Maintain records/documents Monitoring & Reviewing Activities Collect & analyse various data/MIS and put up to COO for decision/ information Follow up with concerned Collection of data/MIS from various function/department/section Analyse the data Prepare reports Submit reports/status to COO Communicating decision/views of COO to all Conducting Meeting Plan & organize various meeting with COO. Prepare the various meeting schedules Communicate to the concerned Organising meeting Noting of points Circulating observations/findings/ MOM Follow up for further action. Travel/Appointment Arrangements Ensure effective time management of COO Fixing prior/proper appointment Prepare travel plan/hotel booking Monitor the schedule effectively Notification of changes in time Prepare budget/expense statement Liaison To maintain good relations with internal and external people to Closely liaise with all concerned Show politeness in dealing Ensuring all comfortness project a positive image Maintenance of Systems To ensure proper maintenance of systems with regard to ISO 9001/ ISO 14001, TPM,TQM,OHS, Internal customer survey, etc., Implement systems effectively Monitor and review periodically Rural Development Implement RD activities in line with overall plan of the organisation Understand the organisation plan Prepare action plan Implement activities Review and monitor Maintenance of Records & Documents Maintain proper records in order to facilitate smooth conduct of the business.
