Job Description

Administrative Support Manage and maintain executive schedules, including planning and organizing meetings, appointments, conferences, and travel arrangements. Act as a gatekeeper for the executive, screening calls, visitors, and correspondence. Prepare meeting agendas, attend meetings, and take minutes as needed. Coordinate and manage executive communications, including emails, reports, and presentations. Handle sensitive information with a high level of discretion and confidentiality. Travel and Logistics Management Arrange domestic and international travel, including accommodations, transportation, and detailed itineraries. Prepare travel-related documentation, including visas, expense reports, and reimbursement claims. Project Management and Research Assist in the management of key projects, tracking progress, setting deadlines, and ensuring successful completion. Conduct research and compile data for reports, presentations, and strategic decision-making. Liaise with internal and external stakeholders to gather information and support project goals. Communication and Relationship Management Serve as the primary point of contact between the executive and internal/external stakeholders. Facilitate communication and collaboration within the organization and with external partners, clients, and vendors. Build strong professional relationships with team members, clients, and other key stakeholders. Document Preparation and Management Draft, edit, and proofread documents, including reports, emails, and presentations. Maintain an organized filing system of paper and electronic documents, ensuring documents are easily accessible when needed. Event and Meeting Coordination Plan and organize company events, meetings, team activities, and other gatherings as needed. Ensure all logistics, from venue selection to catering and A/V setup, are efficiently handled. Other Duties as Assigned Take on additional responsibilities as required, supporting the executive in various aspects of business operations and personal matters as appropriate. Minimum Requirements: Bachelor s degree in Business Administration, Communications, or related field (preferred but not required). Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role. Excellent verbal and written communication skills. Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software Proficiency in collaboration and delegation of duties Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities Exceptional interpersonal skills Friendly and professional demeanor
