Job Description

Job Summary:

We are seeking a reliable, organized, and detail-oriented Receptionist / Administrative Assistant to manage front desk responsibilities and provide administrative support across departments. This role is key to creating a professional first impression and ensuring smooth daily operations, including the management of courier services.

Key Responsibilities

Reception Duties:

  • Greet and welcome visitors and clients with professionalism and courtesy
  • Answer, screen, and forward incoming phone calls
  • Maintain a clean and organized reception area
  • Respond to general inquiries via phone, email, and in person
  • Manage visitor logs and issue visitor passes when applicable

Courier & Mail Management:

  • Coordinate all incoming and outgoing courier and mail services
  • Track and log courier deliveries and pickups
  • Ensure timely distribution of incoming parcels and mail to relevant departments
  • Liaise with courier service providers to schedule pickups and resolve delivery issues

Administrative Assistant Duties:

  • Perform general clerical duties (photocopying, scanning, faxing, filing)
  • Prepare and format documents, reports, and correspondence
  • Schedule and coordinate meetings, appointments, and room bookings
  • Maintain filing systems (electronic and physical)
  • Support other departments with administrative tasks as needed
  • Manage inventory and order office supplies
  • Assist with travel arrangements, bookings, and expense reporting
  • Handle confidential information with professionalism and discretion

Requirements and Skills:

  • Previous experience as a Receptionist, Administrative Assistant, or similar role
  • Experience in courier and mail handling is a strong asset
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • High attention to detail and ability to prioritize tasks
  • Professional appearance and demeanor
  • High school diploma or equivalent; further education in office administration is an advantage
