Job Description

1. Front Desk Management: Greeting and directing visitors: Welcoming guests, directing them to the correct person or department, and ensuring a smooth and professional experience. Maintaining a tidy and organized reception area: Keeping the space clean, presentable, and stocked with necessary supplies. Managing visitor logs and issuing access badges: Ensuring security and maintaining records of visitors. 2. Communication and Customer Service: Answering and forwarding phone calls: Handling calls promptly, accurately, and professionally, and directing them to the appropriate person or department. Providing information to visitors and clients: Answering questions, offering guidance, and ensuring they feel welcome and informed. Taking messages and relaying information: Accurately recording and delivering messages to the appropriate individuals. 3. Administrative Support: Scheduling appointments and meetings: Managing calendars, scheduling meetings, and ensuring timely and accurate reminders. Sorting and distributing mail and packages: Ensuring efficient and organized mail and package handling. Assisting with other administrative tasks: This may include photocopying, filing, data entry, and preparing documents. 4. Other Important Responsibilities: Maintaining office supplies: Tracking inventory and placing orders as needed. Assisting with travel arrangements: Making travel plans, booking flights, and preparing vouchers. Providing general support to staff: Assisting with various administrative duties and providing a welcoming and professional environment.
