Job Description

Key Responsibilities

  • Greeting Visitors: Warmly welcome guests, clients, and visitors, ensuring they sign in (if necessary), and direct them to the appropriate person or department.
  • Communication Management: Answer, screen, and forward incoming phone calls, take messages, and manage general email inquiries in a professional and timely manner.
  • Administrative Support: Perform various clerical tasks such as filing, data entry, photocopying, faxing, and preparing documents or reports.
  • Scheduling and Coordination: Manage appointment schedules, update calendars, book meeting rooms, and sometimes coordinate travel arrangements and accommodations for staff.
  • Mail and Deliveries: Receive, sort, and distribute daily mail, packages, and deliveries, and prepare outgoing correspondence.
  • Office Maintenance: Ensure the reception area and common areas remain tidy, presentable, and well-organized.
  • Inventory Management: Monitor and order office supplies, and keep inventory of stock.
  • Security Adherence: Follow safety and security procedures, which may include issuing visitor badges and maintaining visitor logs.

Required Skills and Qualifications

Soft Skills:

  • Communication: Excellent verbal and written communication skills are essential for interacting with diverse individuals.
  • Professionalism: A professional attitude, appearance, and demeanor are vital for creating a positive first impression of the company.
  • Customer Service: A helpful, friendly, and patient attitude when dealing with inquiries or complaints.
  • Organization and Time Management: The ability to multitask, prioritize tasks effectively, and manage time efficiently in a fast-paced environment.
  • Problem-Solving: Resourcefulness and the ability to proactively handle issues or unexpected changes.

Hard Skills:

  • Computer Proficiency: Competency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software like scheduling or CRM tools.
  • Office Equipment: Hands-on experience with standard office equipment, such as multi-line phone systems, printers, scanners.

Education: A high school diploma or equivalent (GED)

Experience: Previous experience as a receptionist or front desk representative.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹40,000.00 per month
