Job Title: Receptionist Department: Front Office / Hospital Administration Location: Arya Medical College and Hospital, Jaipur Reporting To: Hospital Administrator / Front Office Manager Employment Type: Full-time (On-site) Position OverviewThe Receptionist will be the first point of contact for patients and visitors at Arya Medical College and Hospital. The role involves managing the front desk efficiently, assisting patients with registration and appointment scheduling, providing accurate information about hospital services, and ensuring smooth communication between patients and departments. Key ResponsibilitiesFront Desk OperationsGreet patients, visitors, and vendors courteously and ensure a welcoming environment. Handle patient registration, appointment bookings, and inquiries in person or over the phone. Maintain and update patient records in the hospital management system. Manage visitor logs, issue visitor passes, and monitor waiting area flow. Communication and CoordinationRoute calls, messages, and information to the concerned departments or doctors promptly. Coordinate with nursing stations, doctors, and billing teams for patient movements and updates. Maintain clear communication between outpatient (OPD), inpatient (IPD), and diagnostic departments. Administrative SupportEnsure availability of required forms, brochures, and information material at the front desk. Assist in preparing daily reports on patient footfall, appointments, and inquiries. Maintain confidentiality of patient information as per hospital policies. Handle basic billing or cash collection activities if required. Customer ServiceProvide accurate information regarding hospital timings, consultants’ availability, and services offered. Handle patient or visitor complaints politely and escalate unresolved issues to the Hospital Administrator. Support elderly or differently-abled patients with navigation and basic assistance. Qualifications and SkillsEducation:Graduate in any discipline (preferably in Hospitality, Healthcare, or Management). Diploma/Certification in Hospital Management or Front Office preferred. Experience:1–3 years of experience as a front desk executive, receptionist, or customer service associate, preferably in a hospital or healthcare setup. Technical Skills:Proficiency in MS Office and hospital management systems (HMS/ERP). Good typing and data entry skills. Soft Skills:Excellent verbal and written communication in English and Hindi. Pleasant personality, professional demeanor, and strong interpersonal skills. Ability to multitask, remain calm under pressure, and handle emergencies efficiently. Working Hours8-hour shifts (Morning/Evening/Night) — rotational as per hospital policy. Weekend and holiday availability as per schedule. CompensationAs per industry standards and commensurate with experience. Benefits include meals during duty hours, staff medical facilities, and uniform allowance.
