Job Description

We are looking for a well-organised purchasing officer to join our growing team. As the purchasing officer, you will carry out all tasks allocated by the concerned departments, which may include conducting research on potential vendors and suppliers, inspecting goods, and updating records. You should be able to negotiate pricing and transport costs.
To be successful as a purchasing officer you should be able to multitask and evaluate products and vendors. Exceptional purchasing officers should be smooth negotiators with a keen eye for detail.

1. Key Responsibilities

  • Procurement Management:

    • Execute purchasing strategies to procure materials, components and supplies required for the manufacturing of refrigeration units.
    • Process purchase requisitions and purchase orders (POs) in line with company policies and approved budgets.
  • Supplier Relations & Negotiation:

    • Identify, evaluate, and establish relationships with reliable vendors and suppliers, locally and internationally.
    • Negotiate contracts, pricing, and terms of agreement with suppliers to achieve the best possible quality and cost savings.
    • Conduct supplier performance reviews to ensure compliance with quality standards and delivery schedules.
  • Cost & Quality Control:

    • Analyze market trends and delivery systems to determine optimal procurement methods and potential cost reduction opportunities.
    • Ensure all procured items meet the required technical specifications and quality standards.
    • Resolve supply issues, invoice discrepancies, and other related problems quickly and effectively.
  • Documentation & Reporting:

    • Maintain accurate and up-to-date records of all purchased items, costs, and delivery times
    • Prepare and present reports on purchasing activities, spending analysis, and cost savings to management.

2. Qualifications and Skills

Required:

  • Education:

    Any Bachelor s degree.
  • Experience:

    Minimum of

    3-5 years

    of experience as a Purchase Officer or similar role.
  • Negotiation Skills:

    Proven ability to negotiate favorable terms and build strong vendor relationships.
  • Software Proficiency:

    Experience with Microsoft Office Suite (especially Excel).

3. Competencies

  • Detail-Oriented:

    Exceptional attention to detail to ensure accuracy in orders and contracts.
  • Organizational Skills:

    Excellent planning and time management skills to handle multiple procurement projects simultaneously.
  • Communication:

    Strong verbal and written communication skills for effective internal and external interaction.

    High level of professionalism and ethical conduct in all procurement activities.
