Job Description

The Proposal Specialist role involves the responsibility of crafting and developing compelling proposals and various business documents to bolster the sales and marketing endeavors of the firm. Collaborating closely with the proposal manager, sales, marketing, and technical teams is crucial to ensure that the proposals align with the company's objectives, cater to client requirements, and adhere to business and industry standards. Moreover, it entails devising and executing effective communication strategies to engage with both internal and external stakeholders. One of the key responsibilities of the Proposal Specialist is to strictly follow a standardized firm-wide proposal process and utilize the related tools effectively. This includes generating new content and updating existing content as necessary while maintaining consistency with the brand's voice. Additionally, creating boilerplate content for both firm-wide and practice-specific proposals is essential. Monitoring the proposal request list for new opportunities and deadlines, recognizing the need for extra resources, collaborating with teammates and subject matter experts, and keeping associates and clients informed of project progress are also integral parts of the role. Furthermore, the Proposal Specialist is tasked with creating PowerPoint presentations to support sales team members and other advisors in their proposal efforts. In addition, assisting in the new hire biography process, managing biographies, ensuring their accuracy and timeliness, and executing the associate headshot process are among the duties associated with this role. The Proposal Specialist may also aid the communications team with writing or project management tasks as required. The ideal candidate for this position should possess strong writing and editing skills, capable of crafting persuasive and clear content across various communication mediums. Excellent research and analytical abilities are necessary to synthesize information from diverse sources effectively. Proficiency in proposal management software/tools, familiarity with software like Microsoft Office Suite, Adobe Acrobat, Salesforce, SharePoint, and Monday.com, attention to detail, exceptional project management skills, and strong interpersonal and communication capabilities are highly valued. Moreover, the Proposal Specialist should be well-versed in marketing and communications best practices, capable of managing multiple priorities and deadlines, and exhibit critical thinking, sound judgment, professionalism, and a positive attitude. Demonstrating the ability to ask targeted questions concisely, prioritizing tasks efficiently, and adapting to shifting priorities are also key competencies for this role. In terms of qualifications, a Bachelor's degree in a relevant field such as English, Communications, or Marketing is required, along with at least 3 years of experience in proposal writing and communications, preferably in a B2B or professional services-related setting. The role may involve prolonged periods of sitting at a desk and working on a computer.,
