As a Project Manager you will oversee the creative and production processes from brief to delivery, collaborating with existing Project Managers and the Account Team to schedule and resource projects efficiently. You will need to source appropriate talents, maintain timing plans using our Traffic system, and ensure projects are on schedule and within budget. The role demands strong collaboration with both creative and account teams. A solid understanding of digital disciplines and agency teamwork is essential.

The ideal candidate is passionate, hard-working, and excels in fostering creativity within structured processes. A courteous, energetic individual with excellent interpersonal skills is crucial, as we prioritize hard work and having fun.

Role: Project Manager

INITIATE & PLAN THE PROJECT:


  • Taking overall ownership of integrated creative projects from brief to fulfillment.



  • Serve as the point of contact to receive new briefs and manage the process of transforming unclear briefs into well prepared briefs where applicable



  • Working with account teams to agree and create timing plans and estimates within our internal Traffic system.



  • Manage the scoping, costing and planning of projects across different briefs



  • Work to the BGT+ Project Management Way of Working while executing projects



  • Identify stakeholders and create a communication plan to ensure each of them has access to the right level of information



  • Set deadlines with partners and challenge unrealistic timelines to ensure workload is managed based on creative processes



  • Create project plan and identify key milestones for each of the projects you are assigned



  • Work closely with the Delivery Lead and Resource/Studio Manager to staff the project correctly based on the required deliverables and deadlines



  • Identify risks and possible issues and create risk registers



  • Work closely with the creative team to define a cost, scope and timeplan for the projects



  • Prepare and run effective and structured client and team kick-off meetings


Create and manage the delivery of project documentation

MANAGE PROJECT EXECUTION, MONITORING AND CONTROL:


  • Schedule projects in line with the correct internal resource and help to source external resource where necessary.



  • Coordinate development and delivery among various project participants and stakeholders



  • Prioritize and manage workload of the project team



  • Partner liaison when required, presenting project scopes, cost estimates and timing plans



  • Build partner relationship and ensure their needs and requirements are addressed, while following the OLIVER+ ways of working



  • Monitor the progress of the project delivery within scope and budget with the planned resources



  • Motivate and manage teams under tight deadlines.



  • Prepare status reports for the stakeholders and actively manage the control of project progress using weekly action points



  • Follow the project management change control process for any changes needed in the scope, budget, timelines or resource requirement



  • Create and keep up to date all related project documentation and ensure compliance in the project management system



  • sending out monthly invoices and bills for retainer & ad-hoc chargeable projects.



  • Liaise with the respective team and managers to determine the appropriate costs and obtain the rate card for the projects.



  • Keep a detailed record of all invoices and bills related to each job for accurate tracking and reference.



  • sending out Monthly MI reports



  • Managing priority and urgent tasks



  • Proactively problem-solve, mitigate risks and plan for future issues



  • Be accountable for the financial profitability of the project and actively manage cost overburn and time logged daily



  • Drive efficiency and creative excellence at all times.



  • Monitor utilization and output of team

What you need to be great in this role:


  • Over 5 years of experience managing digital and integrated campaigns in creative and production agencies, successfully executing projects across multiple platforms.



  • Demonstrated ability to identify and manage project risks, with a financially conscientious approach to project delivery and implications.



  • Excellent client engagement and communication skills, with the capacity to organize, influence, and build effective relationships.



  • Positive and proactive attitude, leveraging past experiences to develop optimal solutions for each project while willingly sharing knowledge when beneficial.



  • Strong problem-solving skills and a focus on client satisfaction, taking projects from brief to completion with exceptional attention to detail and quality control.



  • Ability to act as the primary digital expert, engaging as the first line of contact for clients and account managers throughout a projects lifecycle.



  • Process-driven with a continuous improvement mindset, open to feedback, and adaptable in a collaborative, low-ego team environment.



  • Effective multitasking and organizational skills to manage multiple projects simultaneously, meeting diverse deadlines.



  • Proficient in Microsoft Word, PowerPoint, Excel, Zoom, Teams, and the OMG (Oliver Marketing Gateway) internal approval system (training provided).
