Job Description

The Project Manager -Events &; Exhibitions will play a key role in the planning, coordination, and execution of a wide range of corporate events and exhibitions. This individual will be responsible for overseeing all aspects of event management, from concept to completion, ensuring

events are delivered on time, within budget, and to the highest standard. The ideal candidate will be an experienced project manager with a background in event planning, vendor management, and cross-functional team coordination.

Key Responsibilities

1. Event Planning &; Coordination:

  • Lead the end-to-end planning and execution of corporate events, exhibitions,

conferences, and trade shows.

  • Develop and manage detailed project plans, timelines, and budgets to ensure events are

executed seamlessly.

  • Work closely with internal stakeholders (marketing, sales, product teams) to align

event objectives with business goals.

  • Coordinate with external vendors, contractors, and service providers to ensure

event requirements are met.

2. Vendor & Budget Management:

  • Oversee the procurement and management of event-related services, including contracts with venues, suppliers, and service providers.
  • Maintain detailed budgets for each event, ensuring effective cost control and

reporting.

  • Negotiate contracts and agreements with vendors to ensure competitive pricing and

service delivery standards.

  • Monitor and approve all event-related invoices to ensure accurate billing and

payment processing.

3. Team Collaboration & Leadership:

  • Work closely with cross-functional teams, including marketing, sales, and design to

ensure events are well-executed and aligned with brand objectives.

  • Manage a team of event coordinators or assistants to support the execution of event

& logistics.

  • Provide leadership and direction to team members, ensuring clear communication

and efficient task management.

4. Stakeholder & Client Engagement:

  • Serve as the primary point of contact for all stakeholders, including internal teams,

clients, and event attendees.

  • Engage with clients, sponsors, and exhibitors to ensure their requirements and

expectations are met.

  • Provide regular updates and reporting to senior management on event progress,

challenges, and outcomes.

5. Event Execution &; On-Site Management:

  • Oversee all on-site event activities, ensuring everything runs smoothly and according to

plan.

  • Coordinate event staff, manage event schedules, troubleshoot any issues that

arise, and ensure that all logistics are properly executed.

  • Ensure a positive experience for all participants, including guests, exhibitors,

and sponsors.

6. Post-Event Analysis &; Reporting:

  • Gather feedback from attendees, sponsors, and team members to assess event success.
  • Conduct post-event evaluations, including analyzing event performance, budgets, and

return on investment (ROI).

  • Compile and present post-event reports to senior leadership with insights and

recommendations for future events.
