The role will provide support the Project Management team in Project Crystal with various administrative tasks.

The EA will support the PMO manager in the creation of project reports by compiling and generation of Cost reports based on information in SAP and cost reports provided from externa Contractors.

The EA will also be managing the Project Coordination mailboxes and be responsible for the official communication between CAPEX team and external Contractors/Partners in accordance with the project communication procedure, this may include preparation and distribution of Transmittals, and other formal documents to/from the Project Team.

The EA will also support the document controller, ensuring that the document management system is updated.

The EA will also support Procurement Manager to generate Requisitions in SAP in accordance with the project WBS structure.

Track invoices, initiate and expedite invoice approval workflow, book the approved invoices in SAP for payments, allocate the accrued cost in SAP. Set-up and maintain the project SAP structure and allocation of cost to the right WBS structure.

The role will also support with travel arrangement for the entire project team when required. Support with administration of Site visits. Prepare write-up of MoM and other administrative tasks on behalf of the PM team.

Responsibilities :

  • Provide support on creating Requisitions, Purchase Orders, Manage Frame Agreements
  • Expedite invoices from Vendors
  • Review invoices from Vendors/Contractors for consistency together within Project Controls Manager
  • Support Arrangement of meetings.
  • Support for Travel arrangements for members within Project Crystal
  • Administrate Project correspondence incl. manage correspondence log, support PMT and Owners team with official communication to Vendors and Contractors in accordance with project correspondence procedures
  • Support the Development of Cost reports
  • Support to engineering and construction organisation with various admin tasks
  • Coordinate checks of invoices together with Cost Controller before approval.
  • Manage the creation of project WBS structure in SAP.
  • Extract data from SAP and generate cost reports data.
