Role & responsibilities

Key Responsibilities

1. Spare Parts Follow-up

• Process customer spare parts requests and ensure timely order placement.
  
• Coordinate with stores, purchase, and logistics teams to track availability and dispatch of spare parts.
  
• Monitor order status and provide regular updates to customers and service teams..

  Service Coordination

• Coordinate with field service engineers for machine breakdown, preventive maintenance, and installation schedules.
  
• Ensure availability of required spare parts and tools before service visits.
  
• Follow up on service reports and close service calls in the system within defined timelines.
  

• Customer Follow-up

• Act as a point of contact for customers regarding spare parts, service updates, Payment and complaint resolution.
  
• Maintain strong customer relationships through regular follow-ups and proactive communication.
  
• Collect customer feedback on service quality and escalate issues where necessary.
  

1. Documentation & Reporting

• Maintain records of spare parts orders, pending deliveries, and service activities.
  
• Prepare MIS reports related to service calls, parts movement, and customer interactions.
  
• Support the team in warranty claims and service contract administration.
  

Skills & Competencies Required

• Strong coordination and follow-up skills.
  
• Good understanding of spare parts management and machine servicing.
  
• Excellent communication and customer-handling skills.
  
• Proficiency in MS Office (Excel, Word) and ERP/CRM systems.
  
• Problem-solving and multitasking ability.

Preferred candidate profile

Qualification & Experience

• Diploma / B.E. (Mechanical / Electrical / Electronics) or equivalent.
  
• 2 to 4 years of experience in service coordination, spare parts handling, or customer support (preferably in machinery / capital equipment industry).
  
• Freshers with strong communication and technical aptitude may also be considered.
