Job Description

Position Summary:

The Procurement Manager is responsible for leading the procurement activities for all goods and services related to facility management operations. This includes vendor sourcing, contract negotiation, supplier performance management, and ensuring the timely and cost-effective procurement of maintenance services, equipment, consumables, and other facility-related needs. The role ensures compliance with company policies, quality standards, and budgetary constraints while supporting operational efficiency across all sites.

Key Responsibilities:

  • Strategic Sourcing & Vendor Management

    • Identify, evaluate, and onboard suppliers for services and products such as HVAC, cleaning, landscaping, security, waste management, and building maintenance.
    • Negotiate contracts, SLAs, and pricing with vendors to secure the best value and service quality.
    • Build and maintain strong relationships with key suppliers to ensure performance, compliance, and continuity of service.
  • Procurement Operations

    • Manage end-to-end procurement processes including requisition approval, RFQs, tendering, and PO issuance.
    • Monitor and forecast purchasing trends and ensure availability of necessary materials and services to avoid operational disruptions.
    • Coordinate with facility managers and technical teams to understand procurement needs and align sourcing strategies accordingly.
  • Cost & Budget Management

    • Develop procurement strategies that support cost savings and efficiency without compromising service quality.
    • Track and report procurement KPIs, spend analysis, and cost avoidance/savings metrics.
    • Support budget planning by providing input on vendor costs and contract commitments.
  • Compliance & Risk Management

    • Ensure all procurement activities comply with company policies, legal regulations, and industry standards.
    • Mitigate risks through robust supplier vetting, contract management, and contingency planning.
    • Support audits and ensure proper documentation of procurement activities.
  • Team Collaboration & Process Improvement

    • Work closely with operations, finance, and facilities teams to align procurement strategies with business needs.
    • Drive continuous improvement in procurement processes, tools, and supplier performance.
    • Implement best practices in sustainable and ethical sourcing.
