Job Title: Secretary to Trade Commissioner

Location: Coimbatore, Tamilnadu

Employment Type: Full-Time / On-site


Job Summary


We are seeking a highly organized and proactive Secretary to support the Trade Commissioner in coordinating administrative functions, managing communication, and assisting in trade-related activities. The ideal candidate should possess strong communication, documentation, and scheduling skills while maintaining confidentiality and diplomatic professionalism at all times.


Key Responsibilities


Administrative Support

  • Manage daily schedules, appointments, meetings, and travel itineraries for the Trade Commissioner.
  • Prepare official letters, reports, presentations, and email correspondence.
  • Maintain systematic filing records (digital & physical).
  • Handle confidential information with professionalism and discretion.


Communication & Coordination

  • Act as the primary point of contact between the Trade Commissioner's office, stakeholders, government bodies, and international delegates.
  • Liaise with business councils, embassies, chambers of commerce, trade bodies, and partner organizations.
  • Coordinate internal and external meetings, conferences and represent office communication.


Office & Documentation Management

  • Draft, review, and proofread business documentation including MoUs, trade proposals, governing documents, etc.
  • Maintain database of trade contacts, business partners, and project updates.
  • Prepare meeting minutes, follow-ups, and action trackers.


Trade Support & Event Assistance

  • Support the Trade Commissioner in trade promotion activities, exhibitions, and business delegations.
  • Assist in research on trade policies, market updates, and sector-specific opportunities.
  • Organize trade forums, international visits, and business networking events.


Skills & Competencies

  • Excellent written & verbal communication in English (Arabic advantage)
  • Strong interpersonal skills and diplomatic approach
  • Proficiency in MS Office, documentation & correspondence drafting
  • Ability to work in a high-pressure, confidential environment
  • Strong organizational and time management skills
  • Professional etiquette & representation skills


Qualifications & Experience

  • Bachelor’s degree in Business Administration / Communications / Similar field
  • 2–5 years’ experience as Executive Secretary / Admin Assistant, experience with diplomatic or international trade office preferred
  • Experience working with Government/Embassy/Trade sectors will be a strong plus
