Job Description

Key Responsibilities

1. Complaints Management


Receive, log, and track all customer complaints, ensuring prompt acknowledgement and resolution.


Liaise with relevant internal teams to investigate and address issues.


Maintain records of complaint outcomes and prepare regular reports for the Director.


2. Procurement Support


Assist in the preparation and management of purchase orders.


Coordinate with suppliers to ensure timely delivery of goods and services.


Monitor procurement budgets and ensure compliance with company policies.


3. Vendor Management


Maintain an up-to-date database of approved vendors and suppliers.


Negotiate and maintain service agreements, ensuring cost efficiency and quality standards.


Monitor vendor performance and address any contractual or service issues.


4. Research Support


Conduct research to assist the Director in identifying potential business opportunities, market trends, and industry insights.


Research potential job candidates and industry professionals as directed.


Compile and present findings in clear, concise reports.


5. Investor & Venture Capital Liaison


Coordinate communications and meetings with investors, venture capital firms, and other funding partners.


Prepare briefing notes, presentations, and progress reports for investor meetings.


Assist in maintaining strong relationships with financial stakeholders through timely updates and professional correspondence.


Support the Director in organising fundraising activities, investment pitches, and follow-up communications.


6. Administrative & Director Support


Manage the Director’s calendar, schedule meetings, and prepare agendas.


Draft and proofread correspondence, reports, and presentations.


Handle confidential information with the highest level of integrity.


Qualifications & Skills

Proven experience in executive administration, procurement, vendor management, or investor relations.


Excellent written and verbal communication skills.


Strong organisational and multitasking abilities.


Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).


Ability to remain calm and professional under pressure.
