Operations Executive

We are seeking a proactive Operations Executive who can work independently with minimal supervision. The selected candidate will be responsible for coordinating deliveries, preparing sales orders, and maintaining multiple sheets. The role also involves identifying opportunities for automation and improving operational efficiency.

About the role & responsibilities

• Coordinate and organize daily deliveries.
• Communicate effectively with transporters to schedule and coordinate the pickup and delivery.
• Ensure timely and accurate deliveries, with all required documentation and legal compliance.
• Serve as the primary point of contact for clients regarding order status, delivery schedules, and inquiries.
• Address client concerns or issues promptly and ensure timely resolution to maintain customer satisfaction.
• Source new Vendors for competitive pricing and cost efficiency.
• Coordinate with internal teams to allocate resources and fulfil customer orders promptly
• Preparing Sales orders based on customer requirements and specifications.
• Verifying the sales orders with the sales team.
• Converting sales orders into invoices and sending them to customers on the day of pickup.
• Create and maintain spreadsheets to monitor operational metrics, performance indicators, inventory levels, sales order progress, and delivery timelines, ensuring all operational data is up to date and accurately recorded.
• Verify vendor invoices for accuracy and ensure they align with purchase orders and delivery records.

Technical/Soft Skills

• Proficient in English, with confidence in communicating with internal and external stakeholders.
• Proficient with computers and comfortable using various software tools and applications.
• Basic understanding of business functions, and confidence to deal with third party agencies in Australia.
• A high level of accuracy across all aspects of your work.
• Ability to work independently without constant supervision.

Preferred candidate profile:

• Candidates residing in Mumbai suburbs will be given preference.

• Willingness to work on Australian Time Zone 5.00 AM to 1.30 PM

Work details

• Standard 5-day work week: Monday to Friday
• Shift hours: 5:00 AM to 1:30 PM IST (aligned with Australian business hours)
• Flexibility to work in the Australian time zone is essential
• Annual leave entitlement: 20 working days per calendar year
