Position Overview:

Key Responsibilities:

1. Project Operations & Workflow Management:

  • Manage timelines for multiple projects across different verticals.
  • Create, maintain and optimise workflows for project execution.
  • Track progress and follow up with team members to ensure timely completion.
  • Ensure projects are delivered on time, on brief, and within scope.

2. Client Servicing & Account Management:

  • Serve as the primary point of contact for clients regarding project updates and timelines.
  • Take ownership of new tasks, communicate requirements to the team and track execution.
  • Maintain strong client relationships by proactively addressing concerns and providing updates.
  • Coordinate internally to ensure that client feedback and approvals are implemented efficiently.

3. Team Coordination & Communication:

  • Act as a bridge between the studio leadership and the design team.
  • Facilitate clear communication regarding project priorities, tasks and deadlines.
  • Ensure that the team has the information and resources they need to execute work effectively.

4. Administrative & Routine Tasks:

  • Oversee day-to-day operational tasks, including scheduling, documentation and record-keeping.
  • Maintain organised systems for tracking projects, clients and internal processes.
  • Implement procedures that free up the founders and designers to focus on creative and high-value work.

5. Process Improvement:

  • Identify bottlenecks and areas for improvement in operations and project management.
  • Suggest and implement solutions for smoother workflows and better team efficiency.
  • Ensure that operational processes scale as the studio grows.

Qualifications & Skills:

  • Degree in Management, Business Administration, Operations or related field (preferred).
  • Prior experience in operations, project management or account management is a plus (studio experience preferred but not mandatory).
  • Strong organisational, planning and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proactive, solution-oriented and capable of taking ownership.
  • Comfortable working in a fast-paced, creative environment.
  • Ability to coordinate between multiple stakeholders (clients, team members, leadership).
  • Familiarity with project management tools (Asana, Trello, Monday.com, Notion, etc.) is a plus.
