Office Manager Job Summary: The Office Manager ensures the smooth running of the office and helps to improve company procedures and day-to-day operations. This role involves managing administrative staff and coordinating office activities. Key Responsibilities: Coordinate office activities and operations to secure efficiency and compliance to company policies. Supervise administrative staff and divide responsibilities to ensure performance. Manage agendas/travel arrangements/appointments etc. for senior management. Manage phone calls and correspondence (e-mail, letters, packages etc.). Support budgeting and bookkeeping procedures. Create and update records and databases with personnel, finance and other data. Track stocks of office supplies and place orders when necessary. Submit timely reports and prepare presentations/proposals as assigned. Assist colleagues whenever necessary. Qualifications: Proven experience as an Office Manager, Front Office Manager or Administrative Assistant. Knowledge of office administrator responsibilities, systems and procedures. Proficiency in MS Office (MS Excel and MS Outlook, in particular). Hands-on experience with office machines (e.g. fax machines and printers). Familiarity with email scheduling tools, like Email Scheduler and Boomerang. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills in a fast-paced environment.
