Job Description

Job Title: Office Administrator

Mode: WFO (5 day a week)

Office Timings: 9 AM - 6 PM

Office Locations- HSR Bengaluru (Near to Biggies Burger HSR)

Job Summary:

The Office Administrator is responsible for managing the day-to-day operations of the office, ensuring the smooth functioning of facilities, and providing essential administrative support. This role requires a proactive individual who can handle various tasks, from clerical duties and facility upkeep to managing vendor relationships and maintaining office infrastructure. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.

Key Responsibilities:

1. Administrative Support:

  • Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents related to office operations.
  • Manage courier services, including the shipment of contracts, receiving and dispatching packages, and depositing cheques.
  • Assist with transportation, hotel bookings, and other logistical arrangements.

2. Facility Management:

  • Maintain office hygiene and cleanliness; monitor and oversee cleaning schedules and effectiveness.
  • Coordinate and supervise office maintenance, including infrastructure and security.
  • Implement cost control measures and work efficiency initiatives.
  • Manage office inventory, including stationery and hardware (e.g., laptops).

3. Documentation and Record-Keeping:

  • Maintain rental agreements, vendor agreements, and maintenance records.
  • Keep accurate budget and expenditure records.
  • Manage ISO 27001-related documentation and ensure compliance.

4. Cafeteria and Pantry Management:

  • Ensure high standards of hygiene in dining and pantry areas.
  • Monitor catering vendors for quality and safety compliance.
  • Oversee the replenishment of pantry supplies.

5. Client Audits and Visits:

  • Arrange for client meetings, including reception,boardroom setups, and catering.
  • Provide explanations of administrative processes and infrastructure during client visits.
  • Manage fixed assets and maintain accurate records.

6. Infrastructure Management:

  • Oversee preventive and contractual maintenance of office equipment, including HVAC and electrical systems.
  • Manage office security, including access related services, phone systems, wi-fi management etc.
  • Oversee the secure disposal and refurbishment of old computers and hard drives.

Requirements:

  • Bachelors degree with 1-3 years of experience in office administration or managing a concierge desk in a hotel or corporate setup.
  • Strong interpersonal, problem-solving, and customer service skills.
  • Excellent organizational, time management, and communication abilities.
