Job Description

As an Office Administrator at Mindstix, your role is crucial in ensuring the smooth functioning of office operations and supporting the CEO and senior executives. Your responsibilities include: - Providing administrative support to the CEO and senior executives to ensure efficient office operations and accomplishment of company goals. - Overseeing day-to-day office operations to ensure smooth functioning. - Handling office correspondence, phone calls, emails, and other communications with timely and appropriate responses. - Assisting the HR team in maintaining and updating employee records and onboarding new employees. - Maintaining accurate records, files, and databases with confidentiality and data security. - Managing office supplies, equipment, and inventory by anticipating needs and placing orders when necessary. - Coordinating with vendors and service providers for new products and services and overseeing office maintenance and repairs. - Assisting with basic bookkeeping tasks, arranging travel itineraries, coordinating meetings, conferences, and event logistics. - Handling sensitive and confidential information with integrity and discretion, acting as a liaison between staff and building managers. - Building and maintaining positive relationships with internal staff, clients, suppliers, and stakeholders. Qualifications and Skills required for this role include: - Bachelor's or Master's degree in Business Administration, Office Management, or a related field. - Proven experience in office administration, Executive Assistance, or a similar corporate setting role. - Strong written and verbal communication skills, organizational and time management skills. - Proficiency in office software like Google Workspace, email clients, and calendar management tools. - Attention to detail, accuracy, discretion, and integrity in handling confidential information. - Strong interpersonal skills, ability to work effectively in a team environment, flexibility, and adaptability.
