4.1 Calendar Management:
4.1.1 Manage the DOP(Director Operation)'s schedule, including scheduling appointments, meetings, and conferences.
4.1.2 Anticipate scheduling conflicts and proactively resolve them to ensure optimal use of the DOP's time.
4.2 Communication and Correspondence:
4.2.1 Handle incoming calls, emails, and correspondence on behalf of the DOP, prioritizing and responding to inquiries as appropriate.
4.2.1 Draft and prepare correspondence, reports, presentations, and other documents as needed.
4.2.2 Maintain confidentiality of sensitive information and exercise discretion in all communications.
4.3 Meeting Coordination:
4.3.1 Coordinate meetings and conference calls, including scheduling, sending out invitations, and preparing meeting materials.
4.3.2 Arrange meeting logistics, such as booking conference rooms, coordinating catering, and arranging audio-visual equipment.
4.3.3 Record meeting minutes, distribute agendas, and follow up on action items as directed by the DOP.
4.4 Administrative Support:
4.4.1 Provide general administrative support to the DOP and other members of the medical office leadership team.
4.4.2 Organize and maintain files, records, and documents in both electronic and hard copy formats.
4.4.3 Assist with special projects, research tasks, and other assignments as assigned by the DOP.
4.5 Office Management:
4.5.1 Oversee the day-to-day operations of the administrative area, including managing supplies, equipment, and facilities.
4.5.2 Ensure a welcoming and professional environment for all visitors to the office.
4.5.3 Assist with the implementation of office policies and procedures to promote efficiency and productivity.
