Management Assistant – Job Role & Responsibilities Job Role Overview A Management Assistant supports senior managers and executives with daily administrative tasks, coordination, communication, and project support. The role ensures smooth office operations and helps management focus on strategic activities. Key Responsibilities 1. Administrative Support Manage calendars, schedule meetings, appointments, and travel. Prepare reports, presentations, and business correspondence. Maintain filing systems (physical and digital). 2. Communication & Coordination Act as a point of contact between management and employees/clients. Handle emails, phone calls, and official communication. Coordinate internal and external meetings and events. 3. Office & Document Management Organize documents, records, and confidential files. Draft letters, memos, and meeting agendas. Take minutes during meetings and circulate to stakeholders. 4. Project & Task Assistance Assist in planning, monitoring, and execution of projects. Follow up on pending tasks and deadlines on behalf of management. Prepare project-related documentation and reports. 5. Data Handling & Reporting Collect, analyze, and summarize information for decision-making. Maintain databases, spreadsheets, and dashboards. Prepare weekly/monthly performance reports. 6. Relationship Management Coordinate with vendors, service providers, and clients. Support HR activities like onboarding, interviews, and employee coordination. Assist with internal team communication and support. 7. Office Operations Monitor office supplies and place orders when required. Handle expense claims, invoices, and basic budget tracking. Support in organizing events, workshops, and company activities.
