We need a Junior HR Associate for Onboarding & Payroll

Job Summary

The Junior HR Onboarding and Payroll Specialist will be responsible for executing the end-to-end employee onboarding process and supporting the monthly payroll cycle. This role requires a strong understanding of compliance, exceptional attention to detail, and a commitment to providing an excellent employee experience.

Key Responsibilities

I. New Hire Onboarding & Documentation

  • Pre-Joining Formalities:

    Act as the main point of contact for new hires. Collect and verify all necessary documents (ID proofs, offer acceptance, academic certificates, past employment records, etc.) before the joining date.
  • Onboarding Coordination:

    Coordinate with IT, Admin, and Hiring Managers to ensure the new hire's workspace, equipment, access cards, and system accounts are ready on day one.
  • Induction Support:

    Assist in conducting orientation and induction sessions, explaining company policies, benefits, and HR processes.
  • HRIS Management:

    Accurately create and update new employee records in the Human Resources Information System (HRIS) and personnel files, ensuring data integrity for payroll and compliance purposes.

II. Payroll Processing & Compliance

  • Data Preparation:

    Collect, compile, and verify all monthly payroll inputs, including attendance, leave records, new hires, exits, bonuses, incentives, and changes in employee data.
  • Payroll Execution:

    Assist the Payroll Lead in the end-to-end processing of monthly payroll for the Pune location, ensuring accurate calculation of wages, overtime, taxes (TDS/IT), and statutory deductions (PF, ESI, Professional Tax).
  • Statutory Compliance:

    Ensure strict adherence to all Indian labor laws and statutory regulations related to payroll (e.g., PF, ESI, Gratuity, Minimum Wages Act, etc.).
  • Query Resolution:

    Handle and resolve employee queries related to their salary, deductions, final settlements, and tax calculations in a professional and timely manner.

III. Employee Life Cycle Administration

  • Exits & Full and Final (F&F):

    Process the Full and Final settlement (F&F) for exiting employees, coordinating with Finance to ensure timely payout and accurate documentation.
  • Records Management:

    Maintain up-to-date and highly confidential employee records (both physical and digital) throughout their life cycle in compliance with company policy and legal requirements.
  • Reporting:

    Generate basic HR and Payroll reports as required by the HR Manager or Finance team.

Required Qualifications

  • Experience:

    2 to 4 years of dedicated experience in an HR role, with a focus on Onboarding and Payroll processing, preferably in a corporate or IT/ITes environment.
  • Education:

    Bachelor's or Master's degree in Human Resources, Commerce, Business Administration, or a related field.

  • Technical Skills:

    • Mandatory:

      Proven proficiency in using

      MS Excel

      (VLOOKUP, Pivot Tables, conditional formatting) for data analysis and payroll computation.
  • Knowledge:

    Strong understanding of

    Indian Payroll Statutory Compliance

    (PF, ESI, PT, Gratuity, Labour Law).

  • Attention to Detail:

    Exceptional focus on accuracy and consistency, especially when handling financial and confidential employee data.
  • Confidentiality:

    Absolute discretion and ability to handle sensitive information with integrity.
  • Communication:

    Excellent written and verbal communication skills in English to interact effectively with new hires and existing employees.
  • Time Management:

    Proven ability to manage multiple tasks, prioritize effectively, and meet tight monthly payroll deadlines.
