Responsibilities:

  • Review, validate, and process incoming software access requests submitted via ServiceNow.
  • Coordinate with requesters, approvers, and relevant IT teams to ensure timely fulfilment of software requests.
  • Maintain accurate records of software installations and assignments.
  • Create and manage purchase requisitions and purchase orders in Workday for new software license requests.
  • Track approval workflows, resolve delays, and ensure timely delivery of software products or licenses.
  • Assist in internal and external software audits, including license true-ups, by providing accurate data and documentation
  • Identify and communicate potential risks associated with software usage.
  • Provide timely status updates to stakeholders regarding request progress, procurement timelines, and license availability.
  • Detect potential issues or delays in request or procurement processes and escalate them to the IT Software Asset Manager for resolution
  • Align software asset management activities with ITIL practices, supporting incident, request, and change management processes
  • Participate in initiatives aimed at improving software asset management processes, contributing ideas and feedback to enhance efficiency and compliance
  • Coordinate escalations with relevant teams to ensure prompt resolution and maintain user satisfaction
  • Troubleshoot basic software application issues to identify the root cause of user-reported problems
  • Provide guidance to end users on software request processes, license entitlements, and basic troubleshooting

Knowledge and Experience:

  • Knowledge of Day-to-Day IT functions including Service Delivery and ITIL Standards.
  • Experience with ServiceNow and Workday.
  • Background in IT procurement is a plus.
  • Financial tracking experience helpful.
  • Strong organizational and time-management skills.
  • Strong attention to detail
  • Proficient in Microsoft Office Suite (Excel, Outlook, etc.).
  • Knowledge of subscription-based and perpetual licensing models across Adobe, Microsoft, and Autodesk platforms is a plus.
